This Privacy Policy explains how TELEMATIC PRO S.R.L. ("we", "us", "our", "TelematicPro") collects, uses, stores, and protects information in connection with the Workforce mobile application and the associated management console (collectively, the "Service"). By using the Service, you agree to the practices described in this policy.
Workforce is a business-to-business (B2B) field-workforce management application. It is provided to organizations ("Fleet Operators" or "Employers") that use it to schedule, coordinate, and support their field staff. If you are an employee or authorized user accessing the Service through your organization, your organization is the controller of your data, and its own policies may also apply.
Workforce is a companion to the Fleetz vehicle-tracking platform but is a separate app with different data practices. Unlike vehicle tracking (which comes from GPS hardware installed in vehicles), Fleetz Workforce collects the signed-in employee's own device location while they are on shift, as described below.
1. Information We Collect:
Account & Profile Information
Name, email address, and phone number
Account credentials (passwords are stored in hashed, encrypted form)
Organization, branch, role, department, and assignment details
Employee details where applicable (e.g. employee ID, designation, shift, leave entitlements) as entered by the Employer
Location Data (employee device)
While you are clocked in for a shift, and only then, the app collects your device's location so your Employer can coordinate field work and keep you safe:
Real-time and historical GPS location from your device, including latitude, longitude, speed, heading, and timestamps
Location collected in the background — including when the app is not open or the screen is locked — so your position keeps updating while you are on duty
Routes, stops, and movement history during a shift; arrival/departure at assigned work-site geofences
Collection starts when you clock in and stops when you clock out. It requires your explicit in-app consent before any location is shared, and you can withdraw consent at any time (which stops sharing and clocks you out). While location sharing is active, the app shows a persistent notification so you are always aware it is on. This location data is never used for advertising and is never sold.
Work Content & Photos
Photos you capture — a clock-in selfie, task proof photos, expense receipts, or incident photos
Attendance and work records: clock-in/out and breaks, tasks and checklists, schedules, leave requests, expenses and mileage, incident reports, and messages with the office
Technical & Usage Information
Device type, operating system, and app version
Log data, diagnostic information, and crash reports used to maintain and improve the Service
Push notification tokens (where you enable notifications)
2. How We Use Information:
We use the information we collect to:
Provide, operate, and maintain the field-workforce management Service
Show your Employer live and historical on-shift location, attendance, and work activity
Operate scheduling, tasks, leave, expenses, incident reporting, announcements, and messaging
Power safety features — an emergency SOS, lone-worker check-ins, and tracking-health alerts — which require background location to function when the app is not on screen
Authenticate users, secure accounts, and send operational alerts and notifications
Diagnose technical issues, prevent abuse, and improve the Service
Comply with legal obligations
We do not sell personal information, and we do not use location data for advertising.
3. Location Permissions:
Fleetz Workforce requests permission to access your device location, including background ("Allow all the time") access on the devices that offer it. This is used to share your position with your Employer while you are on duty and to power the safety features described above — which must continue working when the app is backgrounded or your phone is locked.
You control this: you must consent in the app before any location is collected; collection only occurs between clock-in and clock-out; and you can withdraw consent or revoke the OS permission at any time. Revoking it stops location sharing (and clocks you out); the rest of the app remains usable.
4. How We Share Information:
Within your organization: data is visible to authorized users of your Employer according to their roles and permissions.
Service providers: we use trusted infrastructure and processing providers (e.g. hosting, push-notification delivery, email, mapping, and reverse-geocoding) that process data on our behalf under appropriate safeguards.
Legal requirements: we may disclose information where required by law, regulation, legal process, or governmental request.
Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this policy.
We do not share personal information with third parties for their own marketing purposes.
5. Data Retention:
We retain personal and location data for as long as necessary to provide the Service to the Employer, comply with legal obligations, resolve disputes, and enforce agreements. Raw location points may be automatically deleted after a retention window the Employer configures. When an employee leaves, the Employer can erase their personal data — deleting location history, documents, and messages and anonymizing identity — while retaining anonymized records (such as timesheets) required by law. When data is no longer required, it is deleted or anonymized.
6. Data Security:
We implement technical and organizational measures to protect data, including encrypted connections (TLS), encrypted credential storage, access controls, and tenant isolation in our multi-tenant architecture. No method of transmission or storage is completely secure, but we work to protect your information using industry-standard practices.
7. Your Rights:
Depending on your jurisdiction (including the EU/EEA under GDPR and applicable UAE data-protection law), you may have rights to access, correct, delete, or restrict the processing of your personal data, or to object to certain processing. Because your organization is typically the controller of the data, please direct such requests to your organization in the first instance; the app allows Employers to export or erase an employee's data directly, and we will assist Employers in fulfilling these requests. 8. International Data Transfers:
TELEMATIC PRO S.R.L. is registered in Romania and provides services to customers including in the United Arab Emirates. Your information may be processed and stored in data centers located in the European Union or other jurisdictions. Where data is transferred internationally, we take steps to ensure an appropriate level of protection consistent with applicable law.
9. Children's Privacy:
The Service is intended for business use by adults and is not directed to children. We do not knowingly collect personal information from children under the age of 16.
10. Changes to This Policy:
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, through additional notice. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
